Minutes of COMMITTEE MEETING Monday 20th April, 2009

 

Present: Dorrien Moody, Oz Hall, Eileen Baker, Julie Dixon, Vicki Heath, Lynne Percival, Brenda Bricknell, Ron Phillips

 

Apologies: Jim Aldridge & Kevin Morrell

 

Minutes of last meeting: The minutes were agreed to be a true and accurate record and signed off by Vicki Heath.

 

Matters arising: It was reported that the delivery date for the "raise a stage" trailer had been postponed until Jim returns from holiday.

 

Some research had been carried out by Lynne & Vicki on wet & dry vacuum cleaners. A budget of £150 was agreed and Lynne & Vicki will liase and investigate further on a Numatic model from the Cleanstore website (free delivery) & Karcher model from B & Q and order according to their findings.

 

Treasurer’s Report: Julie reported on Kevin’s behalf. There is currently £8,877 in the bank with Julie holding approx £110; £70 for bingo and £40 for party food.

 

Fund Raising: Julie updated the committee on the plans for the Party weekend of 16th /17th May for children of Sheepy Parish residents & those attending the school and playgroup; numbers limited to 20 per day. The cost is £200 per day covered by funding and admission is free. The events will run from 2.00 to 4.00pm on 16th and 10.00 am to 12 noon on 17th. Julie will be at the hall 2 hours before and Vicki and Eileen volunteered to assist with the setting up of food on Saturday & Sunday respectively. Oz would also be available. Julie has attended a Food Hygiene course at her own cost. She has also designed a publicity "flyer" which will be out by the end of the week. It may be possible to clean the hall prior to the Bingo Session on the evening of 15th May.

 

A donation of around 50 chocolate Easter Eggs had been received via Kevin and it was proposed that these be used as prizes at a games evening comprising a beetle drive and bingo. A date in June is to be arranged.

 

Correspondence: Due to the renewal of the hall’s membership with the Rural Community Council, a copy of a "Diary of Village Events & Guided Walks in Leicestershire, 2009" had been received which will be placed on the interior notice board. A weekly bulletin arrives via email attachment and Lynne will inform the committee of any items which may be of interest particularly those relating to funding options. A letter received from the National Grid requesting an update of contact details had been replied to accordingly. Lynne was hoping to complete the National Village Hall Survey 2009 in the near future.

 

Any other Business: A lively debate ensued with regard to floor cleaning with suggestions that due to the improved and type of use of the facilities, cleaning was needed at least 3 times a week. Dorrien will inform Lol Sanders of the decision to purchase a new vacuum cleaner and discuss the issue.

 

It was agreed that Vicki will acquire a regular supply of paper towels, and other necessary kitchen equipment. She had already acquired paint and was hoping to paint the kitchen in the near future.

 

Dorrien had carried out some research on usage of electricity at the hall and found that on Thursday evenings, 3 units were used on average.

 

Lynne needed clarification of the role a local History Group would play with regard to the plans for the first floor and was advised that the Committee would allow use of the area as a library holding any documentation , artefacts etc.., that the History Group acquired and that it would also be utilised by the Memorial Hall as an additional meeting area for hire.

 

Ron expressed his admiration for the energy and input that the younger members had brought to the committee.
