SHEEPY MAGNA MEMORIAL HALL COMMITEE MEETING Friday, 24th October, 2008

 

Present: Dorrien Moody, Oz Hall, Ron Phillips, Eileen Baker, Julie Dixon, Vicki Heath, Kevin Morrell,

Lynne Percival.

 

Apologies: Jim Aldridge, Brenda Bricknell

 

Minutes of last meeting: Amendment was made to section Fund Raising/Hall Program:

Pilates is on Monday and Wednesday mornings. Ladies Group every third Wednesday.

The minutes were agreed as a true and accurate record of the last meeting and signed off by Vicki Heath.

 

Matters arising: None

 

Treasurers Report: Electricity bill received in the sum of £80.00.

Payment to Tim Harding £60.00

Cash in Hand £9.24

Whist float £16.00

Current Account £7570.99

Total £7596.23 (includes £1732.87 "raise a stage")

 

Correspondence: Kevin had received a letter from Insurers introducing a Trustees Indemnity Insurance. He will investigate as to whether this is needed in addition to the existing insurance.

 

Fund Raising: Julie reported that the timetable is quite busy with the Monday sessions of dancing and pilates, and Wednesday sessions of yoga and pilates continuing. Tuesday jive will finish this month.

Bingo will continue on a monthly basis, the next session will be 14/11/08.

The show "Rapunzel and the Tower of Doom" takes place on 5/12/2008 and Vicki and Eileen will arrange to clean the hall that morning.

 

Julie is looking at the possibility in the New Year of a "chair based" exercise class and a Martial Arts class on Sundays.

 

Any other business: Julie proposed that the upstairs room be used as a history room and be equipped fully including heating, document storage facilities, furniture and provision for disabled access thereby making local history accessible to the public. The committee were in favour and it was agreed that Lynne would cost the project and provide 3 quotes as she is involved in an informal meeting due to take place on Wednesday 12th November, 2008 at 7.30 pm regarding the setting up of a Local History Group. Oz is to get hall & car park keys cut for Lynne. Julie has also applied to Warwickshire County Council for 2 free computers and is collating information regarding funding. Kevin mentioned that there is a Parish Initiative Fund. A discussion followed regarding safety issues affecting the upstairs and Vicki said that the room capacity is 15 and Safety Regulations are fine.

 

Julie said that the floor was very slippery for dancing. Oz will get advice from Jenna, who runs the classes as to the best solution to the problem.

 

The following supplies are required: kitchen roll, J cloths, bleach, handwash and toilet rolls which Kevin will acquire.

 

Ron asked if the committee were prepared to continue to provide refreshments and prizes for the Whist Club’s annual Christmas event. It was agreed that this should carry on.

 

Christmas decorations will need to be in place for the Church Christmas Bazaar which will be held on the last Saturday in November.

 

A discussion followed regarding continuing this year with carol singing around the village. Julie will speak to Barbara of the Sheepy Melody Makers.
