DRAFT Minutes of Annual General Meeting - Friday 28th October, 2011
Present: Vicki Heath, Julie Dixon, Lynne Percival, Anji Forsyth, Oz Hall, Jim Aldridge, Maurice Percival,
Ron Phillips, Eileen Baker
Apologies: Dorrien Moody, Kevin Morrell, Jenny Simmons, Brenda Bricknell
Minutes of last AGM: The minutes were agreed as a true and accurate record & signed by Vicki
Matters arising: Timer switch included in refurbished electrics. On completion of kitchen (expected 2/11/2011) a certificate of compliance will be issued. Fire door fitted earlier in the year.
Election of Officers: 3 resignations; Chairperson Vicki Heath, Secretary Lynne Percival and officer Jim Aldridge.
All present expressed their deep gratitude to Vicki for her invaluable contribution and hard work over 20 years. Jim and Lynne also commended.
Vicki will register the hall with B&Q as part of their Waste Donation Scheme and continue to collect Whist Club’s money until Christmas when Anji will take over. Maurice & Anji to arrange to attend Lloyds and Nationwide to amend signatories on accounts.
Jim to continue to manage the kitchen project and the replacement of the arched windows until completion.
Chairperson: Anji Forsyth, proposed by Jim seconded by Maurice.
Secretary: Rachel Bunney unable to attend but willing to take over. Proposed by Lynne seconded by Julie.
Treasurer: Maurice Percival agreed to carry on. Proposed by Julie, seconded by Eileen.
Events Organiser: Julie Dixon agreed to carry on. Proposed by Anji, seconded by Os.
Officers: Os Hall, Eileen Baker, Kevin Morrell, Jenny Simmons and Brenda Bricknell all agreed to stand again and were re-elected. Lynne Percival to attend and assist when other commitments allowed.
Honorary Officers: Dorrien Moody had confirmed that he would continue to set out the hall for the Parish Council, Ladies Group, Whist and new WI. Ron Phillips will attend meetings when other commitments allowed.

Treasurer’s Report: (copy accounts & analysis attached). Vote of thanks to Clare Pickering
Disregarding grants, profit 2010-2011 was £2,484.81. Electricity costs reduced possibly due to refurb of electrics and new fixed priced contract. Saving of over £100 on hall insurance on same terms but with different company. Reduction in water cost. Income from Hall hire and bingo had all risen. Annual Fire Inspection to take place early November.

Any other business:
Room hire rates: The main hall & first floor are to remain at £7.00 per hour respectively for regular users. One off events to remain at £10.00 per hour. Sheepy Parish Council to continue to pay £300 per annum.
1907 tea service: still to be allocated to 7 current/previous trustees followed by History Society, Parish Council etc..
Jim & Parish Clerk applied to Bosworth forum for £1000 towards replacing trestle tables. If allowed, Kevin will make presentation on our behalf (or Parish Clerk) on 10/11/2011. Many thanks to Mavis Bassett
